What Unlicensed Real Estate Virtual Assistants Can Do in Colorado

What do real estate assistants do in the state of Colorado? The Real Estate Commission from Colorado has published a “Position” on the subject. The document is focused on the activities that cannot be performed without a license. For some activities, the supervision of a licensed real estate agent or broker is needed.

In order that things go smoothly from the very beginning, real estate assistant training is provided by some companies. During the training sessions, the assistants are fully prepared for the job and they find out exactly what their responsibilities are. At the end of the training period, the assistant chosen to work for real estate company knows exactly which tasks he or she can handle and which should be left to the licensed broker or agent.

As presented in the “Position”, the tasks that an unlicensed assistant cannot perform are:

  • Sell, purchase, negotiate or list real estate;
  • Drawing up legal documents – contracts, listings;
  • Give opinions or offer advice to clients, propose interpretations of the contract or other legal documents;
  • Disseminate or spread information about the listed properties, with the exception of that provided by the licensee.

Thus, the responsibilities of the unlicensed assistants are mostly clerical, but they can save the real estate agent a great deal of time and headaches. The assistant can help their employer to organize or advertise for open houses and keep track of the maintenance or repair works being performed on the properties. Furthermore, they can act as couriers, sending and receiving documents or keys.

Included in their office duties are the following activities: answering the phone, taking messages and setting up meetings for the licensee, filling in contracts with the information provided by the real estate agent, designing promotional materials and distributing them, once they are approved by the licensee, placing ads. Unlicensed assistants may also act as concierges to the existing tenants.
